What format can you convert my data to?
We offer a wide range of options when it comes to converting your data. Whether you are looking for CSV, SPSS, CRM or XML or you want an excel spreadsheet, access database as well as Outlook and Salesforce formats. If you have a specific format in mind, get in touch and we will try our best to accommodate your needs.

How can I get the forms to you?
We operate a secure collection service collecting your documents from London, Manchester, Birmingham and across the rest of the UK. We can also set up a secure PO Box for you where we can collect returned forms from. By appointment only we will also be happy for you to drop your order off at our scanning bureau.

When will I get my converted data?
Turnaround time depends on the size of your scanning and data capture project but we scan using the latest technology which has the capability to scan millions of images per month. This means we usually have very quick turnaround times for your digital data. If you have a small volume of forms, surveys or questionnaires, you can request our Express Service, which can turnaround scanning jobs usually within 24-hours.

My data needs to remain confidential. Will that happen?
Definitely. We operate from a secure scanning bureau monitored by 24 hour CCTV and security. All of our staff have signed confidentiality agreements and our services have been fully certified to ISO data protection standards. We are also registered with ICO (Information Commission Office).

How accurate are your data capture services?
The accuracy of the data captured very much depends on the quality and legibility of the source documents. Generally speaking, when capturing data from structured forms, the standard accuracy rate achieved is between 90% and 98%. This combines machine printed text as well as hand-filled tick boxes. We also offer 99.99% accuracy by capturing the data twice and manually validating any data discrepancy.

What layout do I need for my form to be captured?
We can scan and capture a wide variety of forms and documents of any shape and size. The layout and structure of your forms should be designed with the recipient in mind so they should be user friendly and easy to complete. From our scanning and data capture perspective, it is not necessary to have the form designed in any particular format.

Can you help me design a form to get the most accurate data capture?
Yes. There are certain layouts which make it easy to capture accurate data so if you are in the process of designing your form, we can help you design the perfect form for optimum data capture.

How will I receive my digital data?
We can supply your digital data by email, on CD, DVD USB or via a secure FTP.

What will happen to my original papers?
Once you are happy with your digitised data, you have three options for your originals. They can either be returned to you, stored in our secure scanning bureau or securely shredded and disposed of through certified and environmentally friendly methods.

How much do your data capture services cost?
Because our service is so flexible and bespoke to each of our clients, the prices for each project vary greatly. For this reason, we recommend you get in touch and we can discuss your requirements and draw up a quote.
